General Settings

The below screenshot shows a list of the available General Settings in PDF Converter:

Here is a description of each setting:

Let users email debug information (errors, forms) to Technical Support

If enabled, and in case a system error occurs, the user will be able to automatically create a new email containing the relevant debugging information in order to send it to SWING Software's support team.

Before sending the email, the user may choose which information they wish to send or leave out.

Enable low level document rendering

The low level document rendering uses SWING Software's proprietary document rendering system in order to improve the PDF conversion fidelity.

If enabled, PDF Converter will attempt to save a DLL file to the user's Notes installation folder after the first PDF conversion attempt, and therefore the user should have write permissions on this folder enabled.

Render "hide when printed" paragraphs

If enabled, PDF Converter will render the otherwise hidden Notes document paragraphs in the created PDF files.

Include hidden attachments

If enabled, the hidden attachments will be included in the PDF file as normal attachments.

Convert protected emails

If enabled, protected emails (which cannot be printed, copied or forwarded) will be included in the PDF export.

Enabled document selection sorting

If enabled, the selected documents will be exported to PDF in same order as shown in the Lotus Notes view.

Enable HTTP stream

If enabled, the external document/email resources (such as external email images in newsletters etc.) will be rendered in the created PDF files.

HTTP timeout

If set to 0 seconds, the HTTP timeout will be disabled. If set to a different number of seconds, then PDF Converter will attempt to grab the HTTP for a specified number of seconds. If the download fails within the specified time interval, the document conversion will be listed as failed in the conversion log.

Document conversion timeout

If set to 0 seconds, the conversion timeout will be disabled. If set to a different number of seconds, then each document conversion will only run for the specified number of seconds.

If the conversion does not complete successfully within the set interval, the conversion job will be listed as failed in the conversion log.

Enable document conversion log

If enabled, the conversion log will record the following information for each conversion job: start/end time, source database, number of converted vs. failed documents.

The conversion log may be viewed in the History log section of PDF Converter's administration menu.

Enable Java Debug Console logging

If enabled, SWING PDF Converter will display standard run time information in the Java Debug Console or in the Server log (if running on Domino Server).

Transcode inline images

Option should be enabled only if PDF reader application can not render PDF document images (images shown as black rectangles or "Error loading image" message).

Note that enabling image transcoding can significantly decrease conversion performances.

Run on

Specifies whether the conversion code will be executed on the client or on the server side (default is Client).

PDF Settings

About PDF settings

The PDF Settings section allows users to create one or more PDF conversion profiles which are saved in separate configuration documents. The following screenshot shows the PDF Settings view containing four configuration documents:

General tab

PDF setting name

This is the name of the setting document (visible to end users).

Short description

Displays the description of the PDF settings configuration document in the PDF Settings view.

Default PDF setup

Select whether the current configuration document will be the default setting for all conversions.

Oversized image compression

Select the preferred image resolution in range from 72dpi to 600dpi (a lower dpi setting may result with smaller PDF file sizes).

PDF/A compliance

Select whether the created PDF documents will be compliant with the PDF/A standard.

Export Notes fields to PDF properties (metadata)

Select whether to save the Notes document field values to PDF metadata (document fields are transferred to PDF as Field name -> Value pairs). The metadata can later be extracted from the PDF in XML format using SWING PDF Converter's API. A small code sample that demonstrates this functionality is available in SWING PDF Converter database. An additional check-box provides the option to export the Notes field values to sidecar XML files.

Page setup tab

Page size

e.g. A4 (21cm x 29.7cm)

Page orientation

Select Portrait or Landscape orientation.

Margins

Select the preferred Top/Bottom Left/Right margins.

Fonts tab

Embed all fonts

Select whether to embed the original document fonts into the created PDF files (if set to Yes, the PDF file size may increase).

Path to System font's directory

Select a path which is different than the default fonts path if needed.

Use web safe fonts for HTML content

Select whether to load only the web safe fonts while converting HTML content.

Structured export tab

Bookmarks separator

Select how to separate the documents exported into a Single PDF File with a Bookmarks View.

Bookmark tree root

Select if the root level in the PDF bookmark view will be named after the database or after the current view title.

Header/Footer tab

Enable Header/Footer

Select whether to print a header and footer on the PDF files.

Header/Footer option

Select whether to use a header/footer defined on source document form or to use a custom header/footer.

Watermark tab

Enable watermark

Select whether a watermark (either text or image) will be printed on the PDF files.

Attachments tab

Attach files in their native format.

If enabled, all document attachments will be embedded inside the generated PDF documents in their native formats.

The attachments can then be opened from the attachment panel of any PDF reader software or by double clicking the attachment icon on the PDF page.

Convert files to PDF and attach.

If enabled, all document attachments will first be converted to PDF and then embedded inside the resulting PDF document as new PDF attachments.

In order to convert attachments to PDF, one of the following also needs to be installed on the machine where the conversions are taking place: MS Office 2007 (or higher), OpenOffice, Lotus Symphony

Convert files to PDF and append.

If enabled, the Notes document/email and all its attachments will be converted to individual PDF files and then automatically merged into a single PDF document.

In order to convert attachments to PDF, one of the following also needs to be installed on the machine where the conversions are taking place: MS Office 2007 (or higher), OpenOffice, Lotus Symphony

Extract attachments to disk.

If enabled, the document attachments will be extracted to the location on the hard drive specified in this setting.

Note: This setting applies only to creation of PDF Packages or a Single PDF File with a Bookmarks View.

If documents are being exported to Separate PDF files, then the attachments will be saved in the same location as the PDF files (a sub-folder containing the document attachments will be created for each PDF).

Do not export file attachments.

If enabled, document attachments will not be embedded inside the created PDF document.

Enable inline images

If enabled, image attachments (such as png, jpg, gif, bmp) will be displayed within the PDF document as images and not as attachment icons.

Zip attachments

  • Attach as is: If enabled, ZIP attachments will be embedded inside the created PDF document as normal attachments.

  • Extract and process individual files: If enabled, SWING PDF Converter will extract the contents of the ZIP archives and process them as normal attachments. PDF Converter also supports extraction of nested ZIP archives.

  • Change archive extension to 7z: Some PDF readers do not allow downloading/opening of ZIP attachments from the PDF file. By changing the .zip extension to .7z, users will later be able to open the attachment from the PDF document and save it on disk (where the file extension can then be changed back to .zip).

Provides the ability to set a master password for changing permissions and passwords.

Settings

SWING PDF Converter provides several settings used for managing the product deployment and how the PDF files will be generated.

The General Settings are used for managing error and conversion logs, client or server-side deployment, handling of protected content and other general settings.

The PDF Settings are used to control the way in which PDF files will be generated. They include options to manage the PDF document layout and formatting, attachments, headers and footers, document security, watermarks and image resolution.

The Toolbar Icon Settings specify the default ways in which PDF documents will be generated when running conversion jobs in particular views or with particular Notes forms (using the toolbar icon). They also allow you to customize or localize the text which appears during various stages of conversion jobs.

The Document Repositories settings are used to create a connection to MS SharePoint / Office 365.

Note: The General Settings and the PDF Settings apply to all conversion jobs (whether they have been started using the toolbar icon or by using the archiving jobs). The Document Repositories settings apply only to the archiving jobs and the client-side manual upload tool.

Toolbar Icon Settings

About toolbar icon settings

The Toolbar Icon Settings consist of Form Settings, View Settings and Localization.

The Form Settings are used to convert the Notes documents by using alternate form layouts. If no alternate forms are set, the selected Notes documents will be rendered to PDF using the default document form layout.

The View Settings are used to set the default ways in which PDF documents will be generated when running conversion jobs in particular Notes views.

The Localization is used to change or localize the different text strings that appear in various conversion dialogues.

The following is a description of each of these settings.

Form settings

Lotus Notes forms created for viewing data in a Notes client are many times not optimized for printing, and if such forms are converted to PDF, the result may not be satisfactory. In such cases, it is recommended to use an alternate Notes form, one designed specifically for use during PDF exports.

In order to enable conversion of Notes documents using different form layouts, alternate forms will first need to be created in Domino Designer and saved in the SWING PDF Converter database.Then the alternate forms have to be grouped in the Form Settings with any of the pre-existing forms in user's applications. Grouping the forms in this way will allow the users to select an alternate conversion form in a drop-down menu during the PDF export process.

In order to create new Form Settings, click on the Form Settings link in the administration menu and then the New Form Setting button (see below screenshot):

A new Form Settings document will be opened for editing. The following screenshot shows the various options available in the Form Settings document:

Here are the steps for grouping one or more alternate forms with a default Notes form:

  1. Select the database where the original layout form is stored (or select the Any database option)

  2. Enter the name of the default Form for a Notes document

  3. Select all the alternate forms that will be available to end users in the alternate forms drop-down menu and save the new settings.

Usage example:

Let's assume that three alternate forms called Fax1, Fax2 and Fax3 were created and grouped with the Memo form in a Notes mailbox file.

When a user now tries to convert an email based on the Memo form, they will also have the option to select any of the other three form layouts for that particular export:

The Form Settings also allow for the creation of a custom naming convention based on a Notes formula.

If a naming convention has been created, users will be able to select it using the Name PDF Files By drop-down menu shown in the above screenshot (however only when exporting a single document to PDF).A naming convention may also be applied when exporting multiple documents, but in this case the convention should be created in the View Settings instead (for more information see View Settings section below).

Finally, the Form Settings section also allows provides the ability to automatically set various PDF document properties (using the PDF documents properties fields).

The PDF properties that you can set include Title, Subject, Author and Keywords properties. These properties can later be accessed in Adobe reader using the File -> Properties menu.

View settings

To configure the default way for creating PDF files in a particular Notes view, click on the View Settings link in the administration menu and then the New View Setting button (see below screenshot):

A new configuration document will open up for editing. The following screenshot shows the various options available in the View Settings configuration document:

Here are the steps to configure the View Settings:

  1. Select a database and view to which the settings will be applied

  2. Choose whether the default PDF output will be a PDF Package or Separate PDF files. Alternatively, select Ask user in order to let the user decide.

  3. If you chose Separate PDF files in the previous step, then also create a naming convention for the PDF files, using a Notes formula

Localization

In order to create a new Localization setting, click on the Localization link in the administration menu and then the New Localization button (see below screenshot).

A new Localization document will open up for editing as shown below:

The Language field represents the name of the Localization document and the Default field specifies whether the created localization will be the default one.

After configuring the localized text, the document may be saved and applied. It is also possible to localize all sections of the user interface by modifying the design elements using Domino Designer.
